How are Grant funds disbursed?

Cash: If you have satisfied all conditions in the grant agreement and there is a cash component to your grant award, a check will be issued directly from the Foundation to the Legal Applicant.

Credit and/or Service components with Partners: If  you have satisfied all conditions required in the grant agreement and your grant includes a credit from one of our Partners Resource Center Partners, we will notify the appropriate Partner that you have met your grant conditions, and let them know the amount of their credit.  Once the Partner is notified they will contact you directly to develop an order that will fulfill the grant amount.

What are my responsibilities as a Grantee?

Regular Reporting Requirements

As required by your grant agreement, semi-annual status reports must be submitted on January 1st and July 1st until all grant funds are disbursed.

Annual Grantee Reports are also required by the grant agreement and must be submitted every year for three years following the total disbursement of your grant award. Once total disbursement of the award is made, we will send you an email reminder to submit your Annual Grantee Report as well! The more pictures and stories we have about your project, the better we can highlight you on our website. 

Pictures, please (digital are preferred!)

The Foundation requests that pictures be submitted with each Annual Report (preferrably in digital format), but we encourage you to submit pictures on a more frequent basis.

Permanent Signage

Wherever possible, the Foundation would like Grantees to display signage that acknowledges the Foundation's support.

Updating Contact Information on a Regular Basis

Grantees are required to submit updated contact information with each Annual Report OR whenever there is a change in the Program's primary and/or secondary contact.

What Is Grant Oversight? What Do I Need to Do?

The Foundation has two primary purposes for visiting Grantees:

  • To determine that the funds awarded were used appropriately according to the Grant agreement
  • To collect stories and pictures to determine the impact of our Grant award.

Success Stories (i.e., Case Studies)

We regularly highlight Grantees on our website and in our electronic newsletter. Organizations that have submitted Annual Reports with pictures and stories will have a much better chance of being highlighted.

Visits by Foundation Management Team, Board, and/or Committee Members

If your program/project is selected for an oversight visit, we will contact you to schedule a mutually agreeable date and time for the visit. Prior to our visit, we will let you know who from the Foundation will be conducting the visit and any questions you may be asked, statistical information we may require, etc. so you are as prepared as possible and we can ensure that the visit is successful.

Formal Rescissions

All open grants, i.e., those where all funds have not been disbursed, are reviewed on a quarterly basis to determine why there is still a balance of funds. Generally, our reviews indicate that the program/project is progressing as it should and is within acceptable time frames for completion.

However, there are instances when the Foundation determines that an open grant involves a program/project that cannot be completed as originally anticipated. 

In these instances, the Foundation has a formal rescission process that must be followed:

  • The Foundation’s Grants Committee is informed of the grant’s status including the balance remaining to be disbursed.
  • The Committee makes a recommendation to the Foundation’s Board of Directors (BOD) regarding the grant balance.
  • The BOD considers and votes on the Grants Committee's recommendation.
  • If the Board decides to rescind the Grant, the remaining balance is returned to the Foundation general fund.
  • The Grantee is notified, by letter, of the BOD's decision.
